Planning and Guidance

  • An English-speaking Tour Manager who will help coordinate the entire tour.

  • The Tour Manager may be a representative of Odati Adventures or the Ground Operator in Sri Lanka.

  • Tour Manager (Guidance, Accommodation, Travel, Meals, Bicycle).

  • Odati Adventures’ advice, planning and arrangements suited to your requirements


Accommodation

All accommodation during the course of the tour from pickup point till drop as per itinerary on a double-sharing basis, as below:

  • 01 Night stay in Deluxe Hotel (/e) @ Galle

  • 01 Night stay in Deluxe Hotel (/e) @ Tangalle

Meals

All meals as mentioned in the itinerary above:

Transport

  • Toyota KDH or Equivalent with enough space for participants.

  • A Mini-truck for carrying baggage, bicycles and support gear.

  • From Airport to Airport.


Other Riding Related Services

  • The Support Rider & Drivers of the Minivan and Mini Truck are experienced in handling cycling tours across Sri Lanka.

  • Bottled drinking water for rider, Electrolytes, Seasonal fresh Fruits and Nutrition support during the riding.

  • He is equipped to handle small roadside repairs.

  • Basic First Aid kit (this is mandatory for OA staff to carry as a safety procedure).

Price Exclusion

GST

  • GST at 5%

    For other than Indian nationalities, GST (Goods and Services Tax) is not applicable as the final services are not rendered within India. However, other nationalities will have to submit a Letter of Undertaking in a prescribed format, to be submitted by Odati Adventures Pvt. Ltd. to the GST authorities to claim the GST waiver.

  • 5 - 20% TCS (Tax Collectible at Source) applicable for Indian Citizens for paying in INR based on their LRS spending.

    • Please enquire. A 20% TCS has come into force from 01 Oct 2023.

    • TCS is collected by Odati Adventures at the time of booking and paid to the IT under your PAN no. You may claim the refund of the same at the time of filing your IT returns. Odati Adventures can provide you with the Form 16 as needed.

    • Request your patience and cooperation.

    • We will request Indian Citizens to submit their PAN card copies at the time of payment along with other documents.


Travel

  • Travel from place of origin to Sri Lanka and back.

  • Airfares, visa charges, departure taxes etc. as applicable.


Transport

  • Any upgrade from the above-mentioned transport.

  • Individual airport pickup and drop as applicable.

  • Any additional special tours / route diversions / additional travel tours other than the one mentioned in the itinerary will be charged extra.


Accommodation & Meals

  • Any additional stay or upgrade room type from the above-mentioned. (If any)

  • Single Supplement (Mentioned separately above).

  • Lunches are not included during the trip except on last day Lunch.

  • Excess stay, upgrade room type & meals due to bad weather conditions, strikes, political / local unrest, emergency road-work, etc. resulting in modifications of itinerary.

  • Extra nights’ accommodation other than stated & ended in the itinerary.


Entry Charges and Activity

  • Entry fees at various temple, parks, museums or any other places of sightseeing.

  • Any activities or sport during the tour are not included in the tour price.


Bicycles

  • Cost of hiring bicycles.

  • Cost of transport of bicycles via air.

  • Cost of hiring a bicycle expert / mechanic.

  • Cost of carrying and hiring spare bicycle as well as bicycle spares and accessories.


Insurance

  • Travel, Medical and Adventure insurance of any nature.

  • Rescue / medical charges in case needed due to any ailment and/or accidents.

  • Cost of special hygiene related to Medical Emergencies and / or epidemics etc.

  • Bicycle or Equipment Insurance to protect against Damage, Theft or Accidents.


Other

  • Expenses of personal nature like:

    • Expense towards beverages, soft drinks, juices, etc. during the tour.

    • Gifts, Souvenirs, Mementoes etc.

    • Donations to various entities.

    • Telephone and personal communication.

    • Tips & Gratuities of any nature to leaders / drivers / hotel staff etc.

    • Any item not included in the 'INCLUSION' section above.

CANCELLATION POLICY

CANCELLATION POLICY (Excerpt Only)

Note: A minimum non-refundable deposit amount of INR 10,000/- is charged as a part of the entire package at the time of booking.

WHEN WE CANCEL

The Company reserves the right to cancel a confirmed booking. We shall not cancel your confirmed “Long Duration” trip less than 30 days before departure unless we are forced to do so as a result of unusual and unforeseeable conditions beyond our control, the consequences of which we could not have avoided even with all due care.

All “Short Duration” activities will be subject to cancellation if the minimum seat requirement is not filled up.

If we cancel your trip (except where you have failed to make payment or as a result of force majeure), we shall offer you the option of purchasing an alternative trip from us of a similar standard to that originally booked, if available. If the chosen alternative is less expensive than your original trip, we shall refund the difference; however, if it is more expensive, we shall ask you to pay the difference.

Alternatively, you are entitled to a refund of all monies you have paid to us, save that paid for permits (if applicable), which can only be refunded if the refund has been made available to us.

Except where we cancel for reasons other than those mentioned in this section, we shall have no additional charge to you. We are sorry we cannot pay any expenses and losses incurred as a result of any cancellation.

Where a significant element of the trip cannot be provided, we will make suitable alternative arrangements for the continuation of the trip. If it is not possible to provide a suitable alternative, or the Client reasonably rejects any suitable alternatives, we may provide the Client a refund of unused trip portions.

Where a significant alteration of planned activity or cancellation occurs which is not due to force majeure or other circumstances beyond the Company’s control, the Company will in some circumstances offer compensation.

WHEN YOU CANCEL

In case you wish to cancel your confirmed “Long Duration” trip with us, then cancellation charges will be applicable as per the following schedule:

Cancellation Period Charges Per Head
Less than 14 Days 100% of the trip price
14 – 29 Days 75% of the trip price
30 – 45 Days 50% of the trip price
More than 45 Days 25% of the trip price

We reserve the right to waive the above charges on a case-to-case basis for reasonable reasons.

In case you wish to cancel your “Short Duration” trip due to any personal reasons, your initial 50% Advance with us is forfeited by you.

Further, the Client name will be recorded in our list of “Cancelling” members. If the name repeats in the “Cancelling” member list for the 3rd time, we reserve the right to seek a 100% deposit with such clients for confirming any further bookings made.

UNUSED SERVICES

There will be no discounts or monies refunded for missed or unused services. This includes voluntary or involuntary termination/departure from tour, i.e., sickness, death of a family member, late arrival on the tour, or premature departure either voluntarily or involuntarily.

PRICES AND SURCHARGES

No price increases will be made to a booking 30 days or less before departure.

The Company reserves the right to impose surcharges (price increases) up to 30 days before departure due to unfavourable changes in exchange rates, increases in airfares or other transportation/fuel costs, increases in local operator costs, taxes, or if government action should require us to do so.

The Company will absorb 2% of any such surcharge on the trip price. If the surcharge/price increase is for more than 2%, then the whole increase will be charged.

If any surcharge results in an increase of more than 10% of the trip cost, the Client may cancel the booking within 14 days of notification of the surcharge and obtain a full refund of all monies paid (excluding the 10% non-refundable deposit).

Cancellation requests must be received in writing or by email.
